COD — Due When Work Is Completed
For commercial diagnostics, repairs, and other service work without an approved account agreement, payment is due when the authorized work is completed.
Residential equipment replacement and commercial service do not use the same payment structure. We separate the options clearly so you know what is available, what requires approval, and what needs to be arranged before the technician arrives.
Talk with our team early—especially when financing, Net 15, Net 30, purchase orders, company paperwork, or a special short-term arrangement may be needed. The earlier we know, the more time we have to determine what can be set up before the work begins.
Residential
Synchrony promotional financing may help spread the cost of a qualifying residential AC or heat-pump replacement over time.
Commercial
COD is standard. Net 15 and Net 30 require account approval and must be arranged before the diagnostic or repair visit.
For Homeowners
Residential New Equipment
Replacing an air conditioner or heat pump can be a major household expense. For qualifying residential new-equipment purchases, American Cool can offer financing through Synchrony so an approved customer may pay over time instead of paying the entire equipment investment at once.
Promotional Option
An 18-month no-interest promotional option may be available for qualifying new-equipment purchases when that Synchrony promotion applies and the customer is approved.

Commercial customers often have accounting rules that are very different from residential service. We can work with approved account structures, but those requirements need to be established before dispatch—not after the diagnostic or repair has already been completed.

Approved Commercial Accounts
Net terms may be available to approved commercial customers after the account is approved and we understand how your company needs its invoices handled.
Account Administration
Some approved Net-term accounts may be administered through Riviera Finance. When that applies, we will provide the correct invoice and payment instructions for the account.
Important for Net Terms
If your company requires Net 15, Net 30, a purchase order, company paperwork, an online billing portal, or Riviera setup, contact us before the diagnostic or repair visit is scheduled. We should not arrive expecting COD and then discover after the work that your company requires a different payment process.
The goal is simple: decide how the job will be billed before service begins so our technician can focus on the equipment and your office already knows how the invoice will be handled.
COD is the standard arrangement. If your company needs Net 15 or Net 30, tell us before we schedule the diagnostic, repair, or other field work.
If your company needs a purchase order, vendor form, W-9, certificate of insurance, special billing email, or online invoice portal, send those instructions before service whenever possible.
Net 15 and Net 30 are available only to approved commercial accounts. Any credit review and Riviera Finance setup that applies must be completed before our technician arrives on site.
Once everything is approved, the work order and invoice can follow the agreed payment terms so your office and our field team start with the same expectations.

Some companies need a purchase order, W-9, certificate of insurance, vendor form, specific billing email, or online invoice portal before they can pay an invoice. Send us those instructions before the visit so we can set everything up correctly.
Another Possible Option
In certain situations, American Cool may be able to consider a short in-house payment arrangement. This is separate from Synchrony financing and separate from commercial Net 15 or Net 30 account terms.
These arrangements are considered case by case, are intended to be short term, require approval, and must be agreed to before the work proceeds. Availability is not guaranteed.
